Pre-import cleanup checklist

Import content

Use the following checklist to prepare your content for import to Author-it. This list is specific to Microsoft Word imports, but can be used as a reference to all pre-import cleanups.

Accept all changes and turn off the markup

Remove multiple blank lines

In Author, you only need the end of the line break. Styles control the spacing between lines and paragraphs. Search for all double paragraph markers and replace with a single marker throughout your content.

Toggle all field codes to show the content, not the code

Press Ctrl+A to select all your content. Then press Alt+F9 to toggle between text and code

Remove the following:

  • Table of contents
  • Index
  • Title page
  • Backcover
  • Copyright page

Remove arrows and text boxes

If you have images with arrows or text boxes, take a screenshot of the text box or arrows. Delete the arrows and the text boxes and replace them with the screenshots.

Flatten layered images

If you have images with layers or .ai files embedded in your content, do one of the following:

  • Flatten the image and save it as a standard image file such as .gif, .jpeg, or .png.
  • Take a screenshot of the image, delete the original, and replace with the screenshot in your content.

Adjust the image sizing

Large images that have been adjusted in Word sometimes import with their original size. You can adjust the image size once it has been imported, or do one of the following:

  • Take a screenshot of the image. Delete the original image in Word and replace it with the screenshot.
  • Resize the image using an image editor to correctly resize it with no distortions. Save it to a standard image format such as .gif, .jpeg, or .png.

Remove large, complex tables

Nested tables don't always import easily. Best practice is to either:

  • Take a screenshot of the table, delete it in the content, and replace it with the screenshot.

    OR

  • Delete the table from the content for import and then recreate it in Author.
