Important: Before using the new version function your Administrator must make sure a default release state is set in your library. For example, Draft.
Author-it has modified its versioning system to enable object based version management. Create, propose, review, publish and localize your new object versions without interfering with your current versions.
The previous version function permitted only one version of an object to be "Active". This function has changed and the Active, Inactive and Redundant states no longer exist.
How versioning works in 6.4
When you make a new version of an object, the new object is assigned a new object id and both the original object and the new version are treated as separate objects. However there is a known relationship between the objects and it is possible to replace one with the other as required.
When you create a new version of an object, it will be given the default release state. This object can be edited and used in the same way as a normal object, including having relationships with other objects, such as a book.
This means that new versions can be put through the review process in the Review module, while the original object is still being used for publications. When ready, you can now easily replace the original object with the new version, so it is then used for publications.
For example: your publication is available for print or viewing online with the original version. In the meantime you can make new versions of several topics that need to be updated, and add them to a temporary book to have them reviewed either in print or in Review. When you are satisfied that the new versions are correct, you replace the old versions with the new versions.
For users currently using the old version functionality; when you migrate to version 6.4 your version objects will no longer show the old Active, Inactive and Redundant states, and will have individual object id's. The Version column will still show the version number in relation to the original object.
If you select version 3 for example, it will show a relationship with the original version 1. Therefore you are still able to assess the impact of replacing the original with the new version.
Interface Changes
The Manage interface no longer has the "Make object Active" Icon. This has been removed and now, when wanting to replace an object with the new version, you use the "Replace the selected object" icon.
