Migrating to Author-it Cloud

The objective of changing file paths is to create the folder structure you will use in Author-it Cloud, and copy the files from your on-premises folders to your Author-it Cloud folders.

When you map a path you are also updating the object's pathway to the external file.

In the path mapping screen work through each entry and add a destination sub folder for Author-it Cloud.

Note: The Current Folder is the source folder identified by your library and the Cloud Folder is the destination folder you'll use in Author-it Cloud.

File mapping screen sections

The file mapping screen has a read only Unmapped Path list and two editable text areas: Paths to Map to Templates and Paths to Map to Resources.

  • Initially all folder paths are listed in the Unmapped Paths section. As the paths are mapped they are removed from the path list. Once all paths have been successfully mapped, and the Unmapped Path list is empty, you'll be able to move to the next step.

    Important: This section lists each external file.

Paths to map to templates section

  • When you are working with the Templates paths the base folder for the Cloud environment is the Templates folder.

    Important: In this section you can map an entire folder.

  • When you are working with the Resources paths the base folder for the Cloud environment is the Resources folder.

    Important: In this section you can map an entire folder.

When the folders are zipped, Author-it Cloud Migration Toolkit will copy all files and sub folders found within a named source folder and recreate your folder structure using the Author-it Cloud Folder names.

Root folders for the Author-it Cloud Folder column

The root folders for the sections are automatically set to the Author-it Cloud Templates and Resources folders in Files. Because this is automatically set, you should not include the root folder names in your mapping for the Author-it Cloud folders.

Important: Each entry in the Author-it Cloud Migration Toolkit mapping screen must point to a unique Author-it Cloud folder. As a result you cannot create two entries that map to a single Author-it Cloud folder or sub folder. For example, your could not create two entries to move folders to a single Author-it Cloud folder.

The Templates section

In the Templates section, the root folder in the Author-it Cloud Folder column is set to Templates. All folder names added to the Author-it Cloud Folders column in this section are added as sub folders in the Templates folder in Author-it Cloud.

Map the parent folder. For example, if you are mapping the entire Templates folder, because all files are in the correct sub folders within the Templates folder, you leave the Author-it Cloud Folder column empty. You can use this method if there is only one mapping entry.

Mapping the Entire Templates Folder

Map a sub folder. If you are mapping sub folders, add the name of the sub folder in the Author-it Cloud Folder column. For example, Word creates the path Templates/Word in the library objects and in the zip folders. You then create an entry for each sub folder.

Mapping the Word Templates Folder

Important: Do not prefix your sub folder with "Templates" as this will create a Templates sub folder within the Templates folder and you'll end up with extra levels of sub folders in your folder structure. Defining the Author-it Cloud Folder column mapping as Templates\Word would create the following path in the library objects pointing to the Word templates folder and in the folder structure copied to the zip folders: Templates\Templates\Word.

Best Practice: Define sub folders if you create multiple entires

If you create two or more mapping entries in a section you should define a sub folder for each entry. If you have two or more entries and you leave the Author-it Cloud Folder column empty for one entry then Author-it Cloud Migration Toolkit will automatically create a sub folder name in the Author-it Cloud Folder column, for example, UploadFolder1. The sub folder will be created in the Templates (or Resources) folder, the objects from the mapping entry will be added to the sub folder, and the path will be updated in the library objects.

The Resources section

In the Resources section, the root folder in the Author-it Cloud Folder column is set to Resources. All folder names added to the Author-it Cloud Folders column in this section are added as sub folders in the Resources folder.

Use the same methods for mapping the external files for the Resources section. In this screenshot the Resources folder has two sub folders - one for Flash files and one for Graphics containing the other linked image files.

Error messages for folder mapping
