Mapping folders & files

Migrating to Author-it Cloud

The objective of mapping folder paths is to create the folder structure you will use in Author-it Cloud, and copy the files from your on-premises folders to your Author-it Cloud folders.

When you map a path you are also updating the object's pathway to the external file. For example, the path to an image file for a linked File object is updated.

In this example the original folder name was Linked Images, but it is going to be changed to Graphics in Author-it Cloud

Updated pathway in the object after using Author-it Cloud Migration Toolkit

After running Author-it Cloud Migration Toolkit the pathway in the object is updated for Author-it Cloud. The pathway now points to the Graphics sub folder inside the Resources folder.

Mapping folders, sub folders, or files

You have several options for mapping your files. You can map an entire folder (for example, the entire Templates folder), you can map a sub folder (for example, the Word templates sub folder), or you can map a single file.

Important: Each entry in the Author-it Cloud Migration Toolkit mapping screen must point to a unique Author-it Cloud folder or sub folder. As a result you cannot create two entries that map to a single Author-it Cloud folder or sub folder. As an example, your could not create two entries to move individual templates files to the Word templates sub folder. However, you could map the files to different sub folders if you want to store the files separately, for example, Word and Word_2.

If your files are currently in a number of different locations it may be easier to copy them into folders resembling your expected Author-it Cloud folder structure before running Author-it Cloud Migration Toolkit. Note, you'll also need to update the file paths used by any affected objects in the copy of the library you'll use with Author-it Cloud Migration Toolkit. This will simplify the mapping process by reducing the number of mapping entries that need to be created.

The following examples use the Templates folder, but you'll use the same methods for the Resources folder.

Error messages for folder mapping

When you refresh the screen after creating your mapping entries you may see messages advising there is an issue somewhere in the entry. For information on the messages and the solutions see Error Messages and Solutions for Incorrect Mappings.
