Define a header AutoText in Word 2007

Design templates, styles, & page layouts

Use the following steps to define AutoText in Word 2007. For details about working with headers, Fields, and auto text in Word, refer to the Word user documentation.

Before you begin working with the headers and footers, you'll need to select the AutoText option to Word's Quick Access Toolbar.

To add AutoText to the Quick Access toolbar:

  1. Open Word.
  2. Click the Microsoft Office button, and then click Word Options.
  3. Click Customize.

    The options for customizing the Quick Access toolbar open.

  4. Under the "Choose commands from" drop-down list, click All Commands, and then click the AutoText command.
  5. To move the option to the Customize Quick Access Toolbar list, click Add.
  6. Save your changes.

To create a header AutoText entry:

  1. Use Word to open your publishing template (Author-it.dot by default).
  2. On the Quick Access toolbar, click Auto Text, then scroll to New autotext and click the entry to open it in the template for editing.
  3. Set up the content of your header, including fields for any changeable information, and format it exactly as you want it to appear in your finished document.
  4. Select the entire header.
  5. On the Quick Access Toolbar, click AutoText, and then click Save Selection to AutoText Gallery. The Create New Building Block window opens.
    1. Give the header a name.
    2. From the Save in drop-down list, select the template name.
    3. Save your changes.
  6. Save the changes to the template.

    Note: If the header entry is visible in your template, delete header entry from the page before you save the template.

To modify a header AutoText entry:

  1. Use Word to open your publishing template (Author-it.dot by default).
  2. Click AutoText on the Quick Access Toolbar, then scroll to the autotext entry you want to edit. Click the entry to open it in the template for editing.
  3. Make your changes to the header, including changes to fields or formatting.
  4. Select the entire header.
  5. On the Quick Access Toolbar, click AutoText, and then click Save Selection to AutoText Gallery. The Create New Building Block window opens.
    1. Do not change the auto text name.
    2. From the Save in drop-down list, select the template name.
    3. Save your changes.
  6. Save the changes to the template.

    Note: If the header entry is visible in your template, delete the header entry from the page before you save the template.
